Objective

Laurentien (“Laurentien”, “we”, “us”, “our”) is committed to taking the necessary measures to respect privacy principles and requirements and protecting personal information under applicable legislation. This policy (the “Privacy Policy”) applies to the services offered by Laurentien for using of our web applications Boogie: Boogie Project, Boogie Yearbook, Boogie Texts and Boogie Photos. Our applications are hosted under different domains which are detailed below.

Our goal is to ensure the confidentiality and security of the personal information you provide to us and to protect such information in accordance with applicable privacy laws. This Privacy Policy explains our privacy and security practices. In this Privacy Policy, personal information refers to information that can directly or indirectly identify an individual.

Boogie Project - Privacy Policy

This privacy policy (“Policy”) is intended to let you know about how we, Marquis Laurentien (“we”, “us”, “our”), collect and use information so you can make an informed decision about using our Web application (“the Service” or “our Service”) hosted at www.albumlaurentien.ca/B2.

If you choose to use our Service, then you agree to the collection and use of information in relation with this Policy. The Personal Information that we collect is used for providing and improving the Service. We will not use or share your information with anyone except as described in this Policy.

Information Collection and Use

In order for an organization (“Client Organization”) to have full access to our Service, it must first sign a contract with us for a project.

Initial user account

Before allowing the Client Organization to sign a project contract with us, a person (“Initial Supervisor”) from that organization must provide us with certain personally identifiable information, including but not limited to:

  • Full name of the Initial Supervisor
  • Username
  • Password
  • Phone number at work
  • Email address
  • Position in the Client Organization
  • Name of the Client Organization
  • Postal address of the Client Organization

That information will be used to contact or to identify the Client Organization and the Initial Supervisor in the Service.

Creation of user accounts

Once a contract is signed, the Initial Supervisor can create user accounts in the project, giving each of them a specific access level (supervisor, regular user, writer, etc.). Any user having supervisor access to the project (a “Supervisor”) can also create user accounts in the project afterwards. To create an account for a user (“User”), a Supervisor must provide us with certain personally identifiable information about the User, including but not limited to:

  • Full name of the User
  • Username
  • Password
  • Email address

That information will be used to contact or to identify the User in the Service.

Shared user accounts

In some circumstances, it can be useful to create an account that will be shared by several people of the Client Organization (a “Shared Account”). That method limits the number of user accounts, thereby reducing the amount of personal information that would be collected when creating them. The name and email address entered when creating a Shared Account can refer to the Organization, or to a part of the Organization, instead of a person.

Modification of user accounts

Except for the usernames, the information in existing User accounts can be modified at any time by a Supervisor.

Visibility of user account data

The user account data is accessible to any Supervisor of the project and to the staff at Marquis Laurentien.

Deactivation of a user account

A user account can be deactivated by a Supervisor at any time, to make it unavailable for connection to the Service and to remove it from user lists (message recipient list, project contact list, etc.).

Deletion of a user account

A user account can be deleted by a Supervisor only if none of the following conditions is met:

  • The user has been assigned a role (supervisor, writer, etc.) in a project.
  • The user has received messages that have not been completely deleted.
  • The user has sent messages that have not been completely deleted.
  • The user is the contact of a project or of a project type.
Log Data

We want to inform you that whenever you visit our Service, we collect information that your browser sends to us that is called Log Data. This Log Data may include information such as your computer’s Internet Protocol (“IP”) address, browser version, pages of our Service that you visit, the time and date of your visit, the time spent on those pages, and other statistics.

Cookies

Cookies are files with a small amount of data that are commonly used as anonymous unique identifiers. These are sent to your browser from the websites that you visit and are stored on your device’s internal memory.

The Service does not use these “cookies” explicitly. However, the Service may use third-party code and libraries that use “cookies” to collect information and improve their services. The Supervisor who created a user account intended for children should be authorized by the Client Organization to do so. If personal information about a child under 13 has been provided to us without authorization, we will ask the Client Organization to modify the information in the account, or we will delete the account if appropriate action is not taken by the Client Organization. If you are a parent or guardian and you are aware that personal information about your child has been provided to us without your consent, please contact the Client Organization or contact us so that we will be able to do necessary actions.

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page. These changes are effective immediately after they are posted on this page.

Boogie Yearbook - Privacy Policy

In order to use the Service, the user (“User”), who is a member of the Client Organization, must log in with an account created in the Boogie Project application and which contains personal information.

Non-Personal Information

Using the Service, the User can write texts that are displayed in the yearbook and saved in the database. These texts are kept in the database, along with the page layout data, for a period of one year after the yearbooks have been delivered (“Project Completion”), allowing the Client Organization to transfer page layout elements into new yearbook projects during that following year. The texts and the page layout data are deleted from the database after that one-year period.

The User can also upload image files that are displayed in the yearbook and stored on the Web server drive. These files are deleted from the server and made unavailable in the Service after Project Completion. However, we keep a backup copy of the files on another server for a maximum of two more years, allowing to reuse the same images in new yearbook projects if the Client Organization asks for it during these two years.
